My Employees is where information about employees is entered and updated.

Employee List: When you open My Employees, you see the list of employees currently entered.

Employee: The Employee's name. This will be visible on the home page and will be the name used when this employee is selected as the designer on an item.

SW User: This corresponds to the user's Studio Designer login name.

Note: Not all employees will have or need logins.  If they don't use Studio Designer, they won't need their own login, but you can still create an employee record so you can use them for time billing, etc. i.e. drafting hours. 

Administrator: Checkmarked if this user is an Administrator.

1.) Employee Details:

Employee Name and Address: The name, title, address, phone, fax, and email for the employee.

Email Signature: The email signature will be automatically displayed in the email box when selecting to email PDF forms. If this is left blank, the Employee Name will automatically be displayed.

Accounting Date: The Accounting Date can define an override date for orders and invoices. If the Accounting Date is blank, the current date will be used for orders and invoices.   If the Accounting Date is not blank, this date will be used for orders and invoices. 

Note: This is only used to backdate orders and invoices if needed. The Accounting Date should generally always be blank. It should only be filled in if you understand how it works. The accounting date cannot be changed for check printing.  Checks will always be printed with the current date. 

When an accounting date is filled in, there will be a notification on the home page of Studio Designer reminding you to remove the accounting date.  You can use the Clear Accounting Date button to remove the date without needing to go into the employee record. 
The accounting date is related via the Studio User.  If you update the accounting date on an employee record that is not related to the Studio User that you are logged in as, your transactions will not be using the accounting date selected.

Group: The group the employee is associated with. Example: Junior Designer

Activity: The activity the employee generally performs. Example: Expediting

Hourly Rate: The employee’s hourly pay rate. This hourly rate defaults to activities for time billing profitability reporting.

Commission Percent: The employee’s commission percent. This is for informational purposes and is not used for processing.

User ID: The Studio Designer User ID. This can only be associated with users that have a paid subscription to use Studio Designer.

This provides permission to generate proposals. 

Generate Orders

This provides permission to generate orders.

Generate Invoices

This provides permission to generate invoices.

Activities

This provides permission to access activities. 

Calendar

This provides permission to access the calendar.

Reports Financials

This provides permission to access financial reports.

This provides permission to access accounting reports.

View Balance

This provides permission to access the balance page in accounting.

Receive Payments

This provides permission to access the money in page in accounting.

Make Deposit

This provides permission to access the make deposit page in accounting.

Office Checks

This provides permission to view and enter office checks in money out in accounting.

Order Checks

This provides permission to view and enter order checks in money out in accounting.

Reconciliation

This provides permission to access the reconciliation page in accounting.

Journal Entry

This provides permission to access the journal entry page in accounting.

General Ledger

This provides permission to access the general ledger page in accounting.

Employee Cost

This provides permission to view the employee rate on activities.

Profit

This provides permission to view the Total profit numbers that show at the top of the screen when you select the profit view.  This will not hide individual item totals. 

Worksheet

This provides permission to view the Project Worksheets 2010 series reports.

Worksheet Budget

This provides permission to view the Project Worksheets Budget 2011 series reports.

Worksheet Profit

This provides permission to view the Project Worksheets Profit 2012 series reports.

Worksheet Client

This provides permission to view the Project Worksheets Client 2013 series reports.

Worksheet Expediting

This provides permission to view the Project Worksheets Expediting 2014 series reports.

Report Activities

This provides permission to view the Activities 2020 series reports.

Report Time Sheet

This provides permission to view the Time Sheets 2030 series reports.

Include Time Billing

This hides time billing invoices from the invoice list when unchecked.  

Edit Chart of Accounts

This provides permission to edit the Chart of Accounts
